How to use Kowope Business

Kowope Business helps you run more than a credit book. You can record credit to customers, record cash sales, and track stock by product — across one shop or several Locations.

Kowope works with your data off. You can add customers, record sales, and update stock at any time, and nothing waits for a connection.

The three tabs

At the bottom of the app you will see three tabs:

At the top, the Location bar shows which shop you are looking at. As an owner you can pick one Location, several, or every Location. A Shopkeeper sees her one assigned Location only.

Set up Locations (owner)

A Location is a shop or depot where you or your staff work. Add at least one before cash sales and stock make sense.

  1. Open the person button at the top right to open Account.
  2. In Locations, tap Manage Locations.
  3. Tap to add a Location and type its name.
  4. Tap Save.

Add a customer (Creditbook tab)

A new customer is kept when you record their first entry. Do both steps together.

  1. Open the Creditbook tab.
  2. Tap New customer.
  3. Type the customer’s name.
  4. Add their phone number if you have it. You can leave it out.
  5. Tap Save. If you left the phone number out, the button says Save as walk-in instead.
  6. Tap Credit, type the first amount, then tap Save.

To find a customer later, type part of their name in Search customers.

Record credit you give

  1. On the Creditbook tab, tap the customer’s name.
  2. Tap Credit.
  3. Type the amount.
  4. If it helps you remember, write what it was for in What’s this for?. This is optional.
  5. Tap Save.

Record a payment

  1. Tap the customer’s name.
  2. Tap Payment.
  3. Type the amount they paid.
  4. Tap Save.

Set up a Product Type (Inventory tab)

A Product Type is something you sell or stock — for example a brand of noodles or bottled water. Stock figures update when you record cash sales or stock arrivals.

  1. Open the Inventory tab.
  2. Tap to add a new Product Type.
  3. Type a name and pick a base unit (piece, carton, kg, and so on).
  4. You can add more units with a conversion — for example 1 carton = 30 pieces. This is optional.
  5. Tap Save.

Record a cash sale

  1. Open the Cash Sales tab.
  2. Tap to record a cash sale.
  3. For each product sold: pick the Product Type, enter the quantity, and pick the unit. Tap to add another product line if the sale had more than one item.
  4. Pick one payment method for the whole sale.
  5. You can add a customer name or phone for the sale. This is optional.
  6. Tap Save.

Each line reduces stock for that Product Type at the active Location.

Record a stock arrival

  1. Open the Inventory tab.
  2. Tap to record a stock arrival.
  3. For each product delivered: pick the Product Type, enter the quantity, and pick the unit. Add more lines if the delivery had several products.
  4. Tap Save.

Invite a Shopkeeper (owner)

A Shopkeeper is staff who can record on your behalf at one Location. You choose what each Shopkeeper may do when you invite them.

  1. Open Account.
  2. Start a new Shopkeeper invite.
  3. Enter their phone number.
  4. Pick exactly one Location for them.
  5. Set the permission toggles, then send the invite.

Fix a mistake

Kowope keeps every entry, so you correct a mistake instead of erasing it where correction is allowed.

  1. Open the customer or entry you need to fix.
  2. Follow the Correct or Undo steps on screen.

Some cash-sale entries become view-only after the day cutoff. You can still see them, but you cannot edit them.

How Kowope works

Why do I need to verify my phone number?

Verification connects your records to your number. If you reinstall Kowope on this phone, you can get your records back.

What does a subscription plan add?

A subscription plan lets you restore your records on another phone and add up to 3 Shopkeepers. Without a plan, you can get your records back on this phone only.

I changed my phone — how do I get my records back?

Install Kowope Business on the new phone, verify the same number, and choose Restore. If you do not have an active subscription, you will be asked to subscribe.

Keep a copy for yourself

Open Account, then tap Export my data. You get a text file you can save or send to yourself. This is free and works with your data off.
