Privacy policy
Kowope Business is a bookkeeping app for owners who record credit, cash sales, and stock across one or more Locations. This policy explains what data we collect, how we use it, and how long we keep it.
Kowope does not lend money. We never sell your data, and we do not use your records for advertising.
Your records are copied to our servers. When you verify your phone number, Kowope starts sending the records you write to our servers, beginning with the first one. This includes your customers’ names and phone numbers where you record them, your cash-sale details, your Product Types and stock figures, your Locations, and Shopkeeper assignments.
This happens on every account. It is not something you switch on, and it does not depend on paying us. A plan changes what you can do on another phone and how many Shopkeepers you can invite; it does not change what we hold.
Who we are

What data we collect
- Account details
- Your phone number, which you use to sign in, plus your shop or business name and identifiers for the phone you use. We use your phone number to create your account and to send you a one-time code when you sign in.
- Credit ledger records
- The customer records and credit entries you create in the Creditbook tab. For each customer: the name you type and the phone number, if you record one. For each entry: whether it is credit or a payment, the amount, anything you write in the “What’s this for?” field, and the time it was recorded. Each customer can be linked to a Location when you use more than one shop.
- Cash sales
- Each cash sale you record: the Product Types and quantities sold, the units you pick, the payment method, an optional customer name or phone for the sale, the Location, and when it was recorded.
- Inventory and Product Types
- The Product Types you define (names and units of measure), stock arrivals you record, and the stock-on-hand figures the app calculates from sales and arrivals — scoped to each Location.
- Locations
- The names of the shops or depots you register, and which records are tied to each Location.
- Shopkeepers
- If you invite staff, we hold their phone numbers, the Location you assign them to, the permissions you grant (such as recording cash sales or defining Product Types), and their activity under your account.
- Contacts
- With your permission, the app can read names and phone numbers from your device contacts to suggest customers as you type. The matching happens on your device. We only read contacts after you accept an explanation in the app and grant permission, and the contacts feature is switched off by default. When you pick a suggestion, the name and number you chose are saved in your ledger like any detail you type yourself.
- Sign-in codes
- When you ask for a one-time code, we record the phone number you asked for, the internet address the request came from, and a scrambled copy of the code. We use these to check the code you type and to stop people flooding the service with requests. We never store the code itself.
- Subscription information
- Your Google Play purchases and subscription status. Google Play handles the payment; we receive a purchase token so we know your plan is active.
- Records of the plan screen
- When you try to move your records to a new phone and you need a plan to do it, we record that this happened, which shop it was for, and counts the screen showed you. We use these counts to see how often people meet that screen.
- Technical and fraud-prevention data
- Device identifiers and service logs used to keep accounts secure and to detect abuse. When something needs our attention, our team receives an alert that can contain account identifiers such as a phone number. We do not put ledger contents in these alerts.
How we use your data

Information about your customers and staff
Your records can include details about your customers (such as names and phone numbers) and about Shopkeepers you invite. They do not use the app as account holders and have not agreed to our terms. You decide what to record about them, so you are responsible for recording their details lawfully. Their records reach our servers with the rest of your account.
We do not contact your customers or your Shopkeepers for marketing, and we do not use their details for anything except running your account.
When you delete your account, your customers’ and staff-related records are deleted with it, on the timetable below. If someone asks us to remove their details, we will ask them to speak to you, because your book is yours and you decide what it holds. You can also reach us at support@creditbook.co.
How we measure the service
Once a week we send ourselves a report on how the app is being used. It holds counts and totals only — for example, how many merchants finished signing in that week. It carries no names, no phone numbers, and no internet addresses. It goes to one address inside an encrypted file.
Sharing your data
We share data only with the providers we need to run the service:
- Google Play, which processes subscription payments under its own privacy policy
- hosting and database providers, which store the copy of your records
- messaging providers, which deliver your one-time sign-in code to your phone
- alerting services, which deliver service alerts to our team
- an email provider, which carries the weekly report described above
We may also share data where the law requires it. We do not sell your data. We do not share your records with anyone except as needed to hold them for you.
How long we keep your data
We keep your account and records while your account is active. When you ask us to delete your account, this is what happens:
- Your account is marked for deletion and you get a 30-day grace period. You can change your mind at any point in those 30 days by signing back in.
- After 30 days, we remove your personal details: your phone number, your business name, and your device identifiers.
- Seven days after that, your business records are permanently deleted from our servers. This includes credit customers and entries, cash sales, Product Types, Locations, Shopkeeper assignments, and the records of the plan screen described above.
After deletion we keep some records for legal and financial reasons: payment and subscription history, and commission, withdrawal, and fraud-prevention records. Backups and logs can also hold data for a limited period until their retention windows end.
Deleting your account
You can delete your account from inside the app: open Account, then tap Delete account. See delete your account for the full steps and the timeline.
Children
Kowope Business is for adults running a business. We do not direct the app at children, and we do not knowingly collect data from children.
Changes to this policy
We update this page when our data handling changes. The effective date at the top shows when this version took effect.
